Not every podcast needs the same service model

The right choice depends on your production volume, creative ambitions, team size, and growth timeline. Our evaluation framework below helps you narrow it down.

Service Evaluation Framework

Ask these questions before signing any podcast service agreement. Each criterion expands with context and red flags to watch for.

1. What is included in "editing" — and what is excluded?
Many providers advertise "full editing" but only deliver basic noise removal and level normalisation. Confirm whether content editing (removing ums, tightening pacing, rearranging segments) is included. Ask for a sample edit of your raw audio before committing. Red flag: no revision policy or "editing" defined only in marketing copy with no scope document.
2. Who owns the final master files?
Some agencies retain ownership of mixed and mastered files, licensing them back to you. Others transfer full ownership on payment. Verify this in writing. If you leave the provider, you should be able to take every asset — including intro/outro music commissioned under your contract. Red flag: no IP clause in the service agreement.
3. How is turnaround measured — and what happens when it slips?
A "five-day turnaround" may mean five business days from upload, five days from briefing, or five days from the provider's next available slot. Clarify the clock-start trigger and ask what compensation or priority mechanism exists for missed deadlines. Red flag: no SLA, no escalation path, no penalty for chronic delays.
4. Can you switch plans or pause without penalty?
Podcast production needs fluctuate. Seasons end, hosts travel, budgets shift. Confirm whether you can downgrade, pause, or cancel with 30 days' notice and no early-termination fee. Red flag: annual lock-in with no pause clause, or a cancellation fee exceeding one month's retainer.
5. What analytics standard does the provider follow?
IAB Podcast Measurement Compliance is the industry benchmark. Providers using non-certified analytics may overcount downloads or conflate streams with downloads. Ask whether their hosting partner is IAB-certified and whether you get raw data exports. Red flag: "proprietary metrics" with no third-party verification.

Field Notes from Real Comparisons

Agency vs. Freelancer for a Weekly Interview Show

A Dublin-based health podcast tested both models over two quarters. The agency delivered more consistent audio quality but the freelancer network offered faster iteration on episode formats. Final verdict: hybrid — agency for flagship episodes, freelancer for bonus content.

Self-Service Hosting: Hidden Bandwidth Costs

One creator discovered their "unlimited" hosting plan throttled download speeds after 50,000 monthly plays. The platform's fair-use policy was buried in paragraph 14 of their terms. Always read the bandwidth clause before committing to a hosting tier.

Transcript Quality: Automated vs. Human

We compared automated transcripts from three major platforms against a human transcription service. Accuracy ranged from 76% to 91% for automated tools; the human service hit 99.2%. For accessibility compliance and SEO, the cost difference (roughly €0.80/minute vs. €0.12/minute) is often justified.
